SAMPLE MEMO TO: Jessie Burroughs, Superintendent of Schools FROM: Ms. Rohde, AUP Implementation Committee RE: Policy infringement This memo is in response to the incident at the Middle School last week involving the students circulating nude pictures juxtaposed with photos from the school yearbook. The AUP Committee has discussed the issue and we each wish to present our suggestions of what to do next. Although the student in question created the image using images downloaded from the Internet, the Internet was not the medium used for dissemination of the finished product; nor was any school equipment used to compile or print the images. Therefore the student is not in violation of the school's AUP as it stands. Since the school's computers were not used for this infraction, I recommend the school not confuse the issue by calling it an "Internet problem." However, we have reviewed other school policies, and had determined that the student has violated Section V, Number 3 describing student conduct. The student's parents are understandably concerned about the student's use of the Internet without proper guidance. Since the infraction occured outside of the school, there is limited action the school can take to prevent it from happening again. However, the parents' concern should be addressed. We recommend the following actions: - Inform the student and his parents of the infraction. - Set up a meeting with the student and his parents at which all participants are shown the school policy statement. - Provide information to the parents regarding Internet safety, options for filtering, and pros/cons of filtering software. If possible, a community forum should be sponsored to discuss these issues with the larger community. - Punishment (suspension or other appropriate action) be imposed on the student.
